At Acquire Estate Agents, we are committed to building a strong and lasting relationship with you based on trust and mutual benefit. Part of this commitment means safeguarding and respecting your privacy which is essential to us. This privacy note, together with our Terms and Conditions, explains how we collect your personal data, how we use your personal data and on what basis. This privacy note also tells you about your privacy rights and how the law protects you. This policy was last reviewed and updated in June 2018

 

What information we may collect

  • Identity Data (name, date of birth, marital status, username and password – we never see your password as it is encrypted, your education and professional status, your interests and preferences, feedback and survey responses)

  • Contact Data (current address and previous address, email address and telephone numbers)

  • “KYC” information: to identify and verify the identity of our customers, including a copy of your passport or identity card, visa to stay in the UK if applicable, and a utility bill or bank statement as a proof of address)

  • Financial Data (bank account and payment details)

  • Transaction Data (details about payments to and from you)

  • Technical Data (internet protocol address, login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform, identification number, online identified, location data and other similar identifying information required for the customer's device(s) to communicate with websites and applications on the internet)

  • Usage Data (how you use our website products and services, the full uniform resource locators clickstream to, through and from our site (including date and time), download errors, lengths of visit to certain pages, page interaction information, methods to browse away from the page and any phone numbers you use to call us)

  • Marketing and Communications Data (your marketing preferences from us and our third parties and your communication preferences)

We may share your information with our teams/ departments within Acquire and member of our group (our subsidiaries, our ultimate holding company and its subsidiaries) for the purposes described in this policy.

Our websites may feature or contain links to other entities that are not affiliated with Acquire who may use or share your personal data in accordance with their own privacy policies. It is recommended that you review the third parties’ privacy policies if you decide to use relevant features.

We may share your information with the following third parties but we authorise them to use or disclose the information only as necessary to perform services on our behalf or comply with legal requirements

-KYC service provider

-IT providers / hosted IT solution providers

-Tenancy deposit administrators (such as Tenancy Deposit Scheme)

-Landlords or current tenants to arrange and facilitate your visit for viewing

How long do we keep your personal information for?

We only keep your information for as long as necessary to perform the purposes listed above and for at least 7 years after last contact with you for legal, regulatory and accounting purposes. However we reserves the right to keep information for longer if we feel that this is in the legitimate interests of Acquire.

Do we transfer your data outside of the European Economic Area (EEA)?

We may transfer your personal information outside of the EEA in order to work with agents, contractors or advisors who we use to help run our product and services or to comply with our legal and regulatory obligations.

When we transfer your information to agents, contractors, or advisors outside of the EEA, we will protect that information as described in this Privacy Notice and put appropriate safeguards in place to ensure that such information is protected in the same way as if it was being used in the EEA.

 

What are your rights and choices?

In the event that we cannot comply with your request due to reasons such as for example our obligations to comply with any legal or regulatory requirements, we will also respond to you with explanation.

  • Access your personal data: you can request us to disclose what personal information we hold about you and details of how we use it. Unless otherwise specified, your information will be provided to you electronically

  • Rectify any incorrect personal data we hold about you: you can either amend your personal details in “My account” or contact us to have your information updated or amended

  • Erase your personal data: you can ask us to delete or remove your information. However, we may not be able to follow your request in certain cases such as in compliance with a legal or regulatory obligation

  • Restrict processing your data: you have the right to restrict the processing of your personal data when you have a particular reason for wanting the restriction such as for example when you believe the data has been unlawfully processed

  • Data portability: you have the right to obtain and move your personal data in a machine readable format that you can move from one IT environment to another.

  • Object: you have the right to object to processing of your personal data in certain circumstances and the right to stop your data being used for direct marketing

 

Withdrawal of your consent

You have the right to withdraw any consent you previously provided to us. The right to consent removal may be limited on some circumstances by law requirements but you will be informed appropriately

You can direct how you want to receive our marketing materials by update your preferences in “My Account”. Any changes to your preference may take approximately 24 hours to be actioned
